The problem
A large multi-site operation was tracking IT assets — laptops, desktops, servers, printers, scanners, specialist factory floor hardware — across spreadsheets maintained by different people at different sites. Nobody had a complete picture of what assets existed, where they were, who had them, or what condition they were in.
Hardware was being purchased that already existed elsewhere. Warranty claims were missed. Decommissioned equipment wasn’t being recorded. Audits required days of manual reconciliation.
What was built
A centralised IT asset management system covering the full asset lifecycle:
- Asset registration with full details, location, assigned user and purchase information
- Assignment and transfer tracking — every movement recorded
- Maintenance and repair logging
- Warranty tracking with expiry alerts
- Disposal recording for decommissioned assets
- Integration with Active Directory for user data
- Reporting by site, category, age and status
- Audit export for compliance purposes
The outcome
Complete asset visibility across all sites for the first time. Duplicate purchasing eliminated. Warranty claims no longer missed. IT audits reduced from days to hours. Full audit trail of every asset from procurement to disposal.
