The problem

A large food manufacturing operation was managing product specifications across a mixture of shared drives, spreadsheets and email. Different versions of the same specification existed in different places. There was no single source of truth for what a product specification said at any given point in time.

When a specification changed — ingredients, allergens, packaging, labelling — there was no structured process to ensure all relevant parties were notified and working from the updated version. Production, quality, procurement and commercial teams were sometimes working from different versions of the same document.

For a food manufacturer, incorrect specifications have direct regulatory and safety implications — particularly around allergen information.

What was built

A centralised specification management system covering the full specification lifecycle:

  • Structured specification creation with all required fields by product type
  • Version control — every change recorded with reason and author
  • Approval workflow before a new version becomes active
  • Automatic notification to relevant teams when a specification is updated
  • Current version always clearly identified and accessible
  • Full version history retrievable for any product
  • Reporting on specification status, pending approvals and recent changes
  • Audit trail for regulatory compliance purposes

The outcome

Single source of truth for all product specifications established. Version confusion eliminated. Relevant teams automatically notified of changes. Approval process enforced before changes go live. Regulatory audit trail available for all specification changes.
