The problem
Across a 30+ site manufacturing operation, new product and item requests were being submitted through a mixture of emails, phone calls and spreadsheets. Each site had its own way of requesting new items. The master data team had no single queue to work from. Duplicate items were being created in the ERP. Requests were being lost or delayed with no visibility for the requesting site.
What was built
A centralised web portal where any site can submit a new item request through a structured form. The system handles:
- Structured item request submission with all required ERP fields
- Duplicate detection before submission
- Approval workflow for the master data team
- Automatic item creation in ERP on approval — no manual re-entry
- Request tracking so sites can see the status of their submissions
- Reporting on request volumes, approval times and rejection reasons
The outcome
Item request process standardised across all sites. Duplicate items eliminated. Master data team workload reduced through structured intake and automated ERP creation. Sites have full visibility of their requests without chasing by email.
